Privacy Policy

For the purposes of this Policy, the following terms shall have the meanings set out below:

eKhonish Administration

The Public Organization “Jurat,” whose authorized personnel are responsible for managing the Website and Mobile Application, processing users’ personal data, defining processing purposes and methods, and ensuring compliance with applicable laws and security standards.

Website

A multifunctional educational ERP system designed to automate and optimize administrative and academic processes in educational institutions to improve efficiency, decision-making speed, and oversight.

Mobile Application or eKhonish Mobile Application

A mobile application compatible with iOS and Android platforms that provides users with access to the eKhonish services.

Personal Data

Any information, directly or indirectly related to an individual, such as name, surname, residential address, email address, phone number, or similar identifiers.

Processing of Personal Data

Any operation or set of operations performed with personal data, with or without automated means, including collection, recording, systematization, storage, updating, modification, retrieval, usage, transfer, dissemination, access restriction, or deletion.

Confidentiality of Personal Data

The obligation of the eKhonish Administration or any authorized individual with access to personal data not to disclose it to third parties without the user’s consent, unless otherwise required by law.

User

Any individual who accesses and uses the Website and/or Mobile Application via the internet for personal purposes.

Learner

An individual officially enrolled in an educational institution for general or professional training as part of an established educational program.

This Policy outlines the obligations of the eKhonish Administration to protect users’ personal data and maintain its confidentiality. The data is provided by users during registration or through continued use of the Website and Mobile Application.

The personal data subject to processing includes, but is not limited to:

• Full name of the User
• Contact phone number
• Email address (if available)

The system may also process additional data provided by educational institutions to support the ERP system’s functionality, including:

• Learner’s photograph
• Gender
• Date of birth
• Residential address and contact details
• Academic records (admission date, academic performance, type of education, grade level, extracurricular activities, year-end evaluations)

Additionally, eKhonish Administration collects technical data during the use of the Website and Mobile Application, such as:

• IP address of the device
• Cookie data
• Access timestamps
• Visited URLs
• Referrer data (previous page URL)

Please note that disabling cookies may restrict access to certain features of the Website or Mobile Application that require user authentication. IP address statistics may be collected for technical diagnostics and to ensure the security of financial transactions related to the services provided.

All other personal data not explicitly listed will be kept strictly confidential and may only be disclosed when required by law or as specified in this Policy.

eKhonish Administration may use personal data for the following purposes:

• Providing access to the Website and Mobile Application;
• Identifying and authenticating the User;
• Communicating with the User, including sending notifications, requests, or messages related to service use or contract fulfillment;
• Verifying the accuracy and relevance of provided personal data;
• Informing the User about the learner’s academic progress as per service agreements;
• Processing and documenting financial transactions, resolving related disputes;
• Offering technical and customer support;
• Sending system updates, promotional offers, pricing details, news, and other materials — subject to the User’s consent;
• Enabling access to third-party services or resources associated with the Website or Mobile Application.

Personal data is processed in accordance with the laws of the Republic of Tajikistan, using all legally permitted methods, including automated and non-automated systems through the eKhonish platform.

The User agrees that eKhonish Administration may transfer personal data to third parties such as postal services or cloud storage providers (within the Republic of Tajikistan), as necessary for service delivery and legal compliance.

Transfers of data to government bodies may occur strictly in accordance with the laws of the Republic of Tajikistan.

In the event of a data breach or loss, eKhonish Administration shall notify the affected User without undue delay.

eKhonish Administration implements appropriate organizational and technical measures to protect personal data from unauthorized or accidental access, destruction, modification, copying, distribution, and other unlawful actions.

Both the Administration and the User are expected to cooperate to prevent damage or adverse consequences arising from such incidents.

User Responsibilities:

• Provide accurate and complete personal data as required for using the Website and Mobile Application;
• Promptly update personal data in case of changes;
• Fulfill obligations as outlined by the laws of the Republic of Tajikistan regarding personal data subjects.

eKhonish Administration Responsibilities:

• Maintain the confidentiality of personal data and refrain from disclosing it without written consent, except as permitted by law or this Policy;
• Implement security practices and protocols to safeguard personal data;
• Limit the use of personal data upon request from the User, their legal representative, or relevant data protection authorities if inaccuracies or legal concerns arise;
• Delete personal data upon formal request from the User, their representative, or relevant authorities.

Important: Deletion of personal data as described in this Policy will result in termination of the public service agreement between the User and eKhonish Administration. Such deletion requires joint written requests from both the User (or their representative) and the educational institution that originally submitted the data.

Before initiating legal proceedings for any disputes arising between the User and eKhonish Administration, the parties must first attempt to resolve the issue amicably by submitting a written claim.

The party receiving the claim must respond in writing within 30 calendar days from the date of receipt.

If no resolution is achieved, the dispute shall be referred to court, in accordance with the laws of the Republic of Tajikistan.

This Policy, and all relations between the User and the eKhonish Administration, are governed by the legislation of the Republic of Tajikistan.

eKhonish Administration reserves the right to amend this Privacy Policy at any time without prior consent from the User.

Users will be informed of any changes via push notifications in the Mobile Application.

Revised versions of the Privacy Policy shall take effect upon publication on the Website and Mobile Application.
